CLUBHOUSE RESERVATION
WHO CAN RESERVE THE CLUBHOUSE
Â
An Owner or Resident may reserve the clubhouse and must be present at the clubhouse for the entire duration of the event. The Owner or Resident must follow the reservation procedures below.Â

NOTE: Clubhouse reservation does not include reservation of the pool area, fireplace area, workout room, or restrooms. Those remain available to all residents at all times.

HOW TO RESERVE THE CLUBHOUSE

Check the Calendar to see if the Clubhouse is available on the date you would like to reserve: Calendar

Notify the Clubhouse Committee that you wish to reserve the Clubhouse with the date and time of your event by emailing gazebopointclubhouse@gmail.com   Â

If the clubhouse is available, leave a deposit check of $100 made out to GAWCHOAI in the community mailbox (at the corner of Waterford Landing and Gazebo Point Ways). Then, email the Treasurer at treasurergawc@gmail.com and the Clubhouse Committee at gazebopointclubhouse@gmail.com to notify them that you have done so.
NOTE: In place of submitting a check for each event and having it returned to you post-event, here's another option:
Submit one deposit check for the year, leaving the date empty. Your check remains on file for the entire year with the Treasurer. The check can be carried over to the next year or destroyed at the end of the year per your instructions.

Prior to your event, complete the Pre-Check portion of the Clubhouse Event Checklist form: Clubhouse Event Checklist
and leave it on the clip on the refrigerator in the Clubhouse.

After your event (within 48 hours of your event), complete the Post-Check portion of the Clubhouse Event Checklist form, leave the form on the refrigerator, and notify the Clubhouse Committee at gazebopointclubhouse@gmail.com that you have completed the post-check.

Meet one of the Clubhouse Committee members at the clubhouse to complete the Clubhouse Event Checklist. If all is well, the Treasurer will return your check to you (unless you have opted to leave it on file for the year). If all is not well, your check will be cashed to pay for returning the Clubhouse to good condition. If additional funds are required for cleaning or repairs beyond your deposit, the Clubhouse Committee will invoice you.Â

WHEN RESERVING THE CLUBHOUSE, PLEASE KEEP IN MIND:

The Clubhouse is intended for the enjoyment of all residents. Please leave it in good condition and notify the Clubhouse Committee if you experience any problems, issues with amenities, or find/cause any damage so it can be rectified quickly.
Â
Cleaning the Clubhouse before and after an event is the responsibility of the resident reserving the Clubhouse.
Â
Please do not leave any decorations, personal items, food or drink at the Clubhouse after an event. These will all be discarded. At the discretion of the Clubhouse Committee, lost personal items may temporarily be stored in the front room (next to the Clubhouse front entrance) for retrieval by residents. The Clubhouse Committee reserves the right to dispose of any such items at any time.

Folding chairs and tables for use during your event are kept in the front room (next to the Clubhouse front entrance). Please help yourself and return them to their original spots in the front room after your event. Folding tables and chairs may not be removed from the Clubhouse area (if your event spills out to the fireplace area, using the folding tables and folding chairs there is acceptable). Â

If you are concerned about parking during your event, please notify your neighbors directly or ask the Secretary at secretarygawc@gmail.com to do so on your behalf. Neighbors are always happy to accommodate each other whenever possible.Â
